Administration and Finance Support Intern

The Opportunity

The Dana Foundation seeks an intern to provide general clerical and office support. The position reports to the Chief Operating Officer and will work closely with other Foundation’s finance and IT team members.

This part-time role (three days a week, about 24 hours per week, with a strong preference for Tuesdays, Wednesdays, and Thursdays) is available now through the end of July. The position is in person and based in the Foundation’s New York City office.

The Administration and Finance Support Intern will gain hands-on experience in financial, administrative, and operational functions. The intern will work closely with seasoned professionals, receive mentorship, and contribute to meaningful projects.

Essential Tasks/Functions

  • Prepare, organize, and maintain files, emails, and other documents related to financial records.
  • Data entry into various finance and grant systems.
  • Support the preparation and distribution of reports.
  • Scan and upload various documents and emails to appropriate systems and folders. Ensure that documents are complete, correctly attached, and legible.
  • Support CIO with IT-specific projects.
  • Organize paper and electronic files, including moving and renaming documents as directed.
  • Assist with assembling any documents, including printing and collating.
  • Assist in planning, scheduling, setting up, and supporting meetings and events.
  • Conduct research and analysis on various projects.
  • Assist with mailings, including preparing shipments, creating labels, and bringing mailings to the mailbox, Post Office, or Express Courier.
  • Other duties and special projects as assigned.

Desired Skills and Characteristics

  • HS Diploma required.
  • Strong computer skills and proficiency with Office 365 is required.
  • Excellent work ethics are required.
  • Successful candidate will be highly organized, thorough, with excellent attention to detail.
  • Clear, responsive, and professional written and verbal communication skills.
  • Ability to manage time effectively and meet deadlines in a fast-paced environment.
  • Must be comfortable with multi-tasking, shifting priorities, and supporting multiple projects.
  • Ability to work independently is very important. Ability to maintain confidentiality and discretion.
  • Analytical mindset with a willingness to learn financial and operational tools.
  • Enthusiasm for teamwork and a proactive approach to problem-solving.
  • Previous experience in an office or administrative setting.

Compensation

The intern will be paid $23 – $28 per hour, depending on experience.
